It happens to everyone. A client, a manager, a room full of colleagues. Someone asks you a direct question. And you do not know the answer.

The silence stretches. Your face gets warm. Your brain starts racing through every possible thing you could say, and none of them feel right.

This is not a language problem. Native speakers panic in this moment too. The difference between professionals who handle it well and those who do not is simple: the ones who handle it well have phrases ready to go.

The Situation

You are presenting your team’s quarterly results to senior leadership. The presentation is going well. Then the Finance Director interrupts:

“What’s the gross margin on the new product line? I didn’t see it in your slides.”

You do not have that number. It was not part of your presentation. Eight people are watching you. You need to respond in the next few seconds.

The Challenge

Say exactly what you would say in this moment (2-3 sentences) that:

• Buys you time (without looking unprepared)

• Shows confidence (even though you do not have the answer)

• Commits to a follow-up (specific, not vague)

Imagine two job candidates in an interview.

• The first says: “I think I could maybe do this role well.”

• The second says: “I’m confident I can deliver strong results in this role.”

Same language level. Same grammar rules. Completely different impressions.

The difference isn’t vocabulary. It isn’t fluency. It’s modal verbs, those tiny words like can, should, must, would, might, and could, and the confidence with which we choose them.

You’re in a meeting. You have a good idea. You know it will work.

But your colleague disagrees. Your manager looks unconvinced. The room is quiet.

What do you do? Do you argue? Do you push harder? Do you give up?

None of those things. You do something much more effective.

You win them over.

This week’s expression is one of the most powerful phrases you can use in professional English: “to win someone over.”

What does it mean?

To win someone over means to persuade them to support you or agree with you, especially when they were against your idea at first.

It’s not about forcing. It’s not about arguing louder than everybody else. It’s about gradually bringing someone to your side through the way you communicate.

The keyword here is “over.” You’re moving someone from one side to the other. From “no” to “yes.” From doubt to trust. From resistance to agreement.

You open your laptop on Monday morning. There it is. A one-star review. Public. Visible to every potential customer who searches for your company.

Your first instinct is to defend yourself. To explain. To correct the facts. That instinct is almost always wrong.

A public response is not a conversation between you and the reviewer. It is a performance watched by every future customer who reads it. The reviewer wants to feel heard. The audience wants to see how you handle pressure.

So what do you actually write?

The Situation

You are the customer success manager at a software company. A long-term client, David, has posted a public review on your company’s Google page:

“Absolutely terrible support. We’ve been waiting three weeks for a fix to a critical bug. Every time I call, I get a different person who doesn’t know the history. I’m seriously considering switching providers. One star is generous.”

Your manager has asked you to write the public response. It needs to be professional, empathetic, and short. You cannot share private details about the account publicly. You need to move the conversation offline without looking like you are avoiding the problem.

The Challenge

Write a public reply to David’s review (4-5 sentences) that:

• Acknowledges his frustration (without getting defensive)

• Takes ownership (without admitting fault publicly)

• Moves the conversation offline (with a specific next step)

Here is the idea…

When a fluent English speaker talks about their own growth, they do not stay in one tense. They move between three, often in the same paragraph, and the movement is what fluency actually sounds like. Each tense names a different time horizon, and each one changes how the listener hears you.

Let us walk through them with a single running scenario. Imagine a colleague asks you how your English is coming along. Nothing formal. Just a friendly question by the coffee machine.

You have been working on something for weeks. Maybe it is a new product. Maybe it is a new process at work. Maybe it is your English.

The big pieces are in place. The foundation is strong. It works. But there are still a few small problems. A few things that are not quite right.

Maybe a report has a confusing section. Maybe a new system crashes when someone does something unexpected. Maybe your English grammar is good, but you keep using the wrong preposition in one specific phrase.

These small problems are annoying, but they are fixable. And in English, we have a great phrase for this: “to iron out the kinks.”

What does it mean?

To “iron out the kinks” means to solve the small remaining problems or inconsistencies in something before you move forward with it. It means the big work is done, but you need to fix the details.

A “kink” in this context is a small problem, a wrinkle, or something that is not running smoothly. And “to iron out” means to fix it, to smooth it, to make it right.

This phrase is about that final stage of any project or skill. The exciting beginning is over. The hard work in the middle is done. Now comes the part that separates “good enough” from “excellent.”

Why months of hard work can feel like nothing…

…and the six small words that change how you measure your progress!

You have been studying English for months.

You have worked hard.

You have done the lessons, watched the videos, tried to speak up in meetings.

And this morning you caught yourself thinking, am I actually getting any better?

We hear this question all the time. And here is the thing…

You are getting better. You just cannot see it yet, because the way English grows in your head is very quiet.

You do not wake up one day and speak English.

You notice, one Tuesday, that you understood a whole meeting without trying. Or that you wrote an email in five minutes instead of twenty. Or that a word came to you before you had time to look for it.

These are small wins. And small wins are how fluency actually happens.

A big idea in a small package

There is an idea in business and sport called the compound effect. It sounds big, but it is simple. If you get one percent better every day, you do not end the year one percent better. You end the year much, much better, because each small step builds on the one before.

English works the same way.

One new word today is not much. One new word a day for a year is 365 words. And those words do not just sit in your head. They help you read faster, which helps you understand more, which helps you speak with more confidence, which makes you want to practise more. Each small win feeds the next one.

The problem is that we do not notice small wins. We are too busy looking at how far we still have to go.

So today, we want to give you the words to name what you are doing well. Once you can name it, you can see it. And once you can see it, you keep going.

Six small words worth stealing

We picked these on purpose. They are short. They are easy to say. And most of them are the kind of words English speakers actually reach for in real life.

• to get better - to improve, bit by bit - My English is getting better every week.

• to grow - to become bigger or stronger over time - My vocabulary is growing.

• to build - to make something, piece by piece - You are building your confidence every day.

• a step - one small part of a long walk - Every lesson is a step forward.

• a small win - a little success that feels good - Today I spoke first in the meeting. Small win.

• to move forward - to make progress, even slowly - I am moving forward, even on the hard days.

If you only take one of these with you this week, take get better. It is short, it is warm, and it is a tense we use all the time. My English is getting better is a whole sentence. Say it out loud now. Notice how it feels.

The tense hiding in these examples

Did you spot the pattern? Getting better. Growing. Building. Moving forward.

When we talk about small wins, we reach for the present continuous (am / is / are + verb + ing). It is the tense of things that are happening right now, in this part of your life. It is a kind tense, because it reminds you that you are in the middle of something.

You are not finished. You are not stuck. You are moving.

Try it this week. When you catch yourself thinking my English is not good, swap it for my English is getting better. Same situation. Very different feeling.

One small thing to try

At the end of every day this week, write down one small win in English. Just one. It can be tiny. I understood a phone call. I learned a new word. I spoke first in the meeting. On Sunday, read the whole list. You will be surprised.

There is a conversation you have been putting off all week.

A colleague’s work has not been up to standard. You noticed. Your team noticed. And every day you do not say something, the problem gets a little harder to fix.

You do not want to be harsh. You do not want to be vague. You especially do not want to sound like your manager. But you also cannot keep pretending it is fine.

So what do you actually say?

The Situation

Your teammate Maria sent you a client report yesterday. You opened it and spotted that the figures in section three did not match the source data. You had to rework them before the deadline, which put you an hour behind on your own tasks.

This is the second time it has happened in a month. Maria is friendly and hard-working, but the accuracy issue is starting to affect the team. You need to raise it with her today, in person, without making her feel attacked.

The Challenge

Write what you would say to Maria (3-4 sentences) when you sit down with her. Your words should:

• Open the conversation gently (give her agency, not a lecture)

• Describe exactly what happened (specific, not vague)

• Explain the impact on you or the team (the “why this matters” part)

• Suggest a way forward together (not a telling-off)

On Monday we noticed something small but important → When the conversation in English turns from saving money to growing it, intermediate learners often freeze.

• Part of the reason is vocabulary, and we covered that.

The other part is grammar, and that is what today is for.

Specifically, it is about the three conditionals, and how each one changes the temperature of what you are saying about money. Same idea, three tenses, three completely different effects on the listener. Once you can feel the difference, you stop sounding hesitant and start sounding deliberate.

Let me ask you something…

Have you ever had one of those days where you worked from morning until evening, answered dozens of emails, attended three meetings, completed several small tasks, and still felt like you achieved nothing important?

You were busy. Very busy. But did any of that work actually make a real difference?

There is a big difference between being busy and making progress. In English, we have a brilliant phrase that captures this idea perfectly: “to move the needle.”

What does it mean?

To “move the needle” means to make a noticeable, significant difference. It means your actions are actually having an impact on a goal or a result. The work you are doing is creating real, measurable progress.

If something does not move the needle, it means it has no real effect. It might keep you busy, but it does not bring you closer to your goal.

Picture a Speedometer

Idioms are easier to remember if we can picture them in our minds.

Think about the speedometer in a car, or the dial on a weighing scale. There is a small needle that points to a number. When something changes, the needle moves.

Now imagine you are trying to grow your business. You try ten different marketing ideas. Nine of them do nothing. The needle stays exactly where it was. But one idea brings in fifty new customers.

That one idea? It moved the needle.

The important lesson here is that not every action moves the needle. The smartest professionals focus their energy on the things that do.

Here is something we notice all the time with intermediate business English learners. You can talk about money beautifully, as long as the conversation is about saving it. Budgets, costs, expenses, overheads, savings, you have all of that.

The moment the conversation turns to growth, investment or opportunity, something tightens. The sentences get shorter. The pauses get longer. You reach for a word, and it is not there.

This is not a vocabulary problem in the way you might think. It is a vocabulary gap, and it has a very specific shape.

Most business English courses teach the language of caution very thoroughly and the language of growth almost not at all. So you end up fluent in one half of the financial conversation and quietly stuck in the other.

The good news is that the gap is smaller than it feels, and you can start closing it today.

Two vocabularies, one conversation

In business English, there is a whole family of expressions for spending less. Cutting costs, tightening your belt, trimming the fat, and keeping an eye on the bottom line. You have probably met all of these. They are useful, and they are everywhere.

There is another family of expressions that gets used just as often by fluent speakers, but far less often in textbooks. Investing in yourself, putting money to work, scaling up, building capacity, spending money to make money. This is the language of growth, and it is the language professionals use when they are talking about the future rather than defending the present.

Notice that these two vocabularies are not opposites.

A confident business English speaker moves between them in the same meeting, sometimes in the same sentence.

We need to tighten our belts on travel so we can invest in training.

That sentence is doing two things at once, and it sounds completely natural because the speaker has both halves of the vocabulary available.

If you only have the cutting-costs half, you can still join the conversation, but you will always sound a little more cautious than you mean to. People will hear you as careful rather than ambitious, even when ambition is exactly what you want to communicate.

The grammar that unlocks it

Here is a small experiment. Imagine someone asks you, “What would you invest in if your company gave you a training budget this year?” Most intermediate learners answer with something like, “I would do a presentation skills course,” or “I would pay for a business English coach.”

Listen to the structure.

If + past simple, would + verb.

That is the second conditional, and it is the grammar of imagined possibility. We use it when something is not real yet but could be. It is the perfect tense for talking about growth, because growth always begins as a hypothesis that someone says out loud.

Compare these two sentences.

• If we invest in this software, we will save time. → That is a confident prediction. It almost asks for a decision.

• If we invested in this software, we would save time. → That is softer, more exploratory, the kind of sentence you use when you want to put an idea on the table without pushing for a yes.

Both are correct.

Both are useful.

Fluent business English speakers move between them constantly, and the shift is almost invisible until you start listening for it.

Once you do, you will hear it everywhere, in meetings, in pitches, in the careful way good colleagues propose ideas without committing the room.

If you want one small thing to practise this week, this is it. Try saying the same growth idea twice, once in the first conditional and once in the second, and notice how differently they land.

There is a special kind of silence that happens when the CEO walks into your stand-up meeting.

Everyone notices. Everyone sits up a little straighter. And then the question comes:

”Can you give me a quick update on the project? I heard we might be running late.”

Your heart rate jumps. You start translating in your head. You can feel a long, messy explanation forming on your tongue. And you know, somewhere deep down, that the long, messy explanation is exactly what you should not give.

The Situation

You are the project lead on a three-month product launch. It is now Week 10 and you are two weeks behind the original timeline. The root cause is a delayed hand-off from a vendor team, but there are also smaller issues you have been juggling.

Your CEO has just popped into your weekly stand-up meeting and asked for a quick update. The whole team is listening. You have about 30 seconds before the silence starts to feel awkward.

The Challenge

Give a short status update (3-4 sentences) that covers:

• Where the project stands right now (the honest headline)

• The main reason for the delay (one cause, not five)

Imagine this. You walk into a meeting on Monday morning. Your colleagues are talking about a big decision that was made on Friday afternoon. Everyone knows what happened. Everyone except you.

You sit down. You smile. But inside, you feel completely lost.

“Why didn’t anyone tell me about this?”

Sound familiar? This is one of the most frustrating experiences in any workplace. You were not informed. You were not included. In English, we have a very common phrase for this:

You were “out of the loop.”

What does it mean?

To be “in the loop” means to be informed about what is happening. It means you are included in the communication. You know what decisions are being made, what changes are happening, and what the team is doing.

The opposite is to be “out of the loop” which means nobody is sharing important information with you. You are disconnected from what is going on.

This is an essential phrase for any professional environment. Good communication means keeping the right people in the loop.

Picture the Loop

Idioms are easier to remember if we can picture them in our minds.

Imagine a circle of people standing together, passing information around the group. Each person receives the information and passes it to the next person. This is the “loop.” If you are standing inside this circle, you receive the information. You are in the loop.

But if you are standing outside the circle? The information goes around and around, but it never reaches you. You are out of the loop.

“Nobody wants to be standing outside that circle.”
