You’re standing at a departure gate that has just changed from “Boarding” to “Cancelled.”

You have a client meeting tomorrow morning that took weeks to schedule, and right now you have no idea how you’re getting there.

There are two conversations you need to have in the next ten minutes — one with the airline, one with your client or manager. Handle both calmly, and tomorrow’s meeting survives. Panic in either one, and it doesn’t.

The Situation

You’re travelling for a client meeting tomorrow morning. Your connecting flight has just been cancelled, with no clear replacement announced yet. You need to deal with the airline desk, and you need to message your client or manager about the situation — calmly, before they hear about it from someone else.

The Challenge

Write your response so that it:

· Handle the airline conversation efficiently, without losing your composure

· Message your client or manager with a plan, not just a problem

· Avoid sounding panicked in either conversation

· I’m going to need you to rebook me on the earliest available flight.

· I wanted to give you a heads-up as early as possible.

Two people are standing at the same desk at the airport, with the same problem. One of them says:

“My suitcase didn’t arrive.”

The other one says:

“My suitcase hasn’t arrived.”

Both sentences are correct English. Only one of them sounds like a problem that still needs solving.

What the two tenses actually say

The past simple (”didn’t arrive”) talks about finished time. It tells a story about something that happened and then ended. It is the right tense for telling a friend about your holiday next week.

The present perfect (”hasn’t arrived”) talks about now. The action happened in the past, but the result is here, in front of you, and somebody needs to do something about it.

That is why the present perfect is the tense of complaints, problems, and lost property. You are not telling a story. You are describing a situation.

❌ Not: “The air conditioning stopped working.”

✅ Better: “The air conditioning has stopped working.”

❌ Not: “I lost my ticket.”

✅ Better: “I’ve lost my ticket.”

❌ Not: “You charged me twice.”

✅ Better: “You’ve charged me twice.”

The first sentence in each pair is not a mistake. It just puts the problem in the past, and the person listening can hear that difference.

The form

Have or has, plus the third form of the verb.

I / you / we / they have lost the tickets.
He / she / it has lost the tickets.

In speech you will almost always hear the short form: I’ve, you’ve, he’s, she’s, it’s, we’ve, they’ve.

Most of the verbs you need for travel problems are irregular, so learn these as a set:

“Someone has taken my seat.”

“I’ve left my phone in the taxi.”

“My wallet has been stolen.”

Before you go…

You arrive at the hotel after a long flight. The booking on the screen doesn’t match the one in your email. The receptionist looks at you, waiting for you to explain the problem in English.

This is exactly the kind of moment where confident, simple English matters more than perfect grammar.

Sound familiar?

There is one phrase that will get you through almost every travel mix-up: to sort something out.

What does it mean?

To sort something out means to resolve a practical problem or a mix-up, usually with someone’s help. It is informal, friendly, and used constantly in everyday English.

It doesn’t sound dramatic. It sounds like someone who is calm and capable, which is exactly the impression you want to give when something has gone wrong.

Picture a Tangled Ball of String

Picture a tangled ball of string. At first it looks impossible, just a knot with no clear start or end.

But if you sit down and work through it patiently, pulling one strand at a time, it eventually comes apart. That is exactly what sorting something out feels like: not a dramatic fix, just steady, patient untangling.

It is ten o’clock at night. You are in a hotel in a country where you do not speak the language, and the bathroom has run out of toilet roll.

You know how to book a room. You can give your name at the desk and ask what time breakfast starts. But now you have to go downstairs and ask for toilet roll, and suddenly there are no words at all. Nobody enjoys talking about toilets in their own language, and it feels much worse in a second one. So you stand there and think about it. Can it wait until the morning?

This is the part of travel English that most courses miss.

Everybody practises the check-in conversation, and that is the conversation you need the least. The person at the desk does it fifty times a day. They ask for your passport. You give them your passport. Even with very little English, you will get your room. The airport is the same. The ticket machine is the same. These moments are easy because everybody already knows what is going to happen.

The difficult moments are different. The taxi does not arrive. There is no hot water. The train is cancelled, and you did not understand the announcement. You need something at ten o’clock at night, and you do not know the word for it.

You do not always need the word

When learners do not know a word, most of them stop and try to remember it. You do not have to do that. You can go around the word instead.

Describe what the thing does, or where it is, or what has happened:

• “Sorry, I do not know the word in English. It is the paper you use in the bathroom.”

• “It is a small plastic thing, about this big, for giving power to a phone.”

• “There is a problem in room 214. There is no hot water.”

English speakers do this too. They forget words all the time and say “the thing you xxx”, and nobody thinks it is strange. You are allowed to do exactly the same. Saying “I do not know the word” is not a mistake. It is a normal part of a conversation, and it usually makes the other person want to help you.

If you want the word for next time, ask for it while you are there: “What do you call this?” Most people are happy to tell you.

Two questions do most of the work

You do not need fifty phrases. You need two or three that come out of your mouth automatically.

• “Could I have some more towels, please?”

• “Could you help me? I have a problem with the shower.”

• “Would it be possible to leave my suitcase here until four o’clock?”

• “I am looking for the station.”

“Could I have” and “could you help me” will get you through almost every hotel, shop, station, and pharmacy. Practise them until you do not have to think about them.

That last part matters more than it sounds. When something goes wrong, you feel stressed, and stress takes away your newest language first. Anything you have to build in your head in the moment will disappear. Anything automatic will stay.

Please and could are enough, by the way. Long polite forms are correct English, but they are a bad choice at a busy desk. “I was wondering whether it might be possible to...” takes four seconds to say and gives the other person more to understand. Short and polite works better than long and polite.

Asking is one sentence. The answer is ten

This is where most people really get stuck. Asking for directions is easy, and you can practise “excuse me, how do I get to the station?” until it is perfect. Then you get ten seconds of fast English back, with three street names you have never heard and a hand pointing behind you.

So practise these as seriously as you practise the questions:

• “Sorry, could you say that again more slowly?”

• “Sorry, is that left or right?”

• “Could you show me on the map?”

And then use the one that almost nobody uses. Say the answer back in your own words.

“So, straight on, then left at the traffic lights, and it is next to the supermarket?”

Two things can happen. The person says yes, and you walk away sure. Or they correct the part you got wrong, which is exactly the part that would have made you lost. It takes five seconds, and it helps you more than another fifty words of vocabulary.

When something has gone wrong

A cancelled flight. The wrong room. A booking the hotel cannot find. Your suitcase is somewhere else. These conversations feel the hardest, and they all follow the same three steps.

1. Say what has happened.

2. Say what you need.

3. Ask what is possible.

“My connecting flight was cancelled. I need to get to Manchester tonight. What are my options?”

“I booked a double room and this is a twin. Could you check the booking, please?”

“The room next to us is very noisy and we cannot sleep. Could we move to another room?”

The best sentence there is the short one at the end of the first example. What are my options? Options are the different choices you have. That question gives the problem to the person who understands the system, and it usually gets you a short list to choose from instead of a long explanation you cannot follow. “What can I do?” and “What do you suggest?” do the same job.

One more thing about these conversations. The person in front of you almost never caused the problem. The airline cancelled the flight, not the woman at the desk. Staying calm is not only good manners. It is useful, because people do more for someone who is polite to them.

The real advice

Do not be afraid to ask.

People are usually nice. Most of them want to help you, and many of them are impressed that you are doing this in a second language at all. The thing that stops people asking is almost never their English. It is not wanting to look silly for ten seconds in front of a stranger they will never see again.

You can solve the toilet roll problem with pointing and an embarrassed smile. It works. It just takes two minutes, and the right sentence takes four seconds.

· Avoid silently agreeing and avoid bluntly refusing

· Propose something concrete instead of just raising a concern

In a difficult conversation, the words you choose matter, but the grammar around them matters just as much.

English has a set of softening structures that let you say something firm in a gentle way. Native speakers use them constantly, often without noticing.

Once you can use them on purpose, you can disagree, complain, or refuse without causing offence, which is the whole art of a difficult conversation.

This week we look at the three grammar tools that do most of the softening work: “would,” past-tense softeners, and qualifiers.

Some conversations we would all rather avoid…

• Telling a colleague their work was late.

• Disagreeing with your manager.

• Saying no to a request you cannot meet.

• Raising a problem that nobody wants to hear about.

These moments are hard in any language.

In English, they can feel almost impossible, because you are managing the difficulty and a second language at the same time.

This week is about exactly these moments.

The goal is not to avoid difficult conversations → It is to handle them in a way that solves the problem and protects the relationship.

Done well, a difficult conversation can actually build trust rather than damage it.

Why these conversations go wrong in English

When emotions are involved, many professionals fall back on direct translation from their own native language.

Sometimes that comes out far blunter than intended, because English speakers, especially in British and American work culture, soften difficult messages much more than other languages do.

“This is wrong” might be perfectly normal in your language, but in English it can land like a slap.

The opposite also happens.

Some people soften so heavily that the message disappears completely, and the other person walks away with no idea there was a problem at all.

The skill is finding the middle: clear about the issue, gentle about the person.

Separate the problem from the person

The single most useful habit in a difficult conversation is to criticise the situation, not the human being. English makes this easy if you aim your language at the issue.

• Instead of “You missed the deadline,” try “The report came in a bit later than we’d planned.”

• Instead of “You’re wrong about this,” try “I see it slightly differently.”

• Instead of “You didn’t explain it well,” try “I’m not sure I fully followed that part.”

Notice how the second version in each pair points at the problem, not at the person. The message is just as clear, but there is nothing to defend against, so the other person can stay calm and actually listen.

Lead with the shared goal

People become defensive when they feel attacked and open when they feel you are on the same side. So before you raise the hard thing, name the goal you both share.

“We both want this launch to go smoothly, so I wanted to flag something early.”

Now the difficult point is not an attack. It is two people solving a shared problem. That single sentence changes the whole temperature of the conversation.

A simple three-step shape

When you are not sure how to begin, this structure works for almost any difficult message:

1. Acknowledge. Show you see their side. “I know everyone’s stretched right now.”

2. State the issue calmly. One clear sentence, aimed at the problem. “The figures in section two don’t quite add up.”

3. Move to a solution. Point forward, not backward. “Could we go through them together this afternoon?”

This shape keeps you calm and stops the conversation turning into blame. You name the problem, then immediately turn towards fixing it.

Your challenge this week

Think of one small thing you have been avoiding saying to someone. Write it down the blunt way first, the way it sounds in your head. Then rewrite it aimed at the problem instead of the person, and open with a shared goal.

Saying the hard thing is rarely as bad as the silence that comes from avoiding it.

Your slides are good. Your delivery has been smooth. And then, two-thirds of the way through, someone senior asks a question that has nothing to do with the slide you’re on.

For a second, your mind goes completely blank.

This is the moment most presentations are actually judged on — not the parts you rehearsed, but the thirty seconds nobody prepared for.

The Situation

Your mind goes blank for a second. You don’t have the answer ready, and you can feel the silence getting longer.

Sound familiar?

Most non-native speakers panic in this exact moment, worried that any pause makes them look unprepared. But the most confident communicators do something different: they buy themselves some time.

What does it mean?

To buy yourself some time means to use a short phrase or a deliberate pause to delay your answer slightly, giving yourself a moment to think before you respond.

It is not the same as avoiding the question. It simply creates a small, natural gap between hearing it and answering it, a gap that almost every confident speaker uses without anyone noticing.

You know the feeling…

Someone asks you a direct question in a meeting, everyone turns to look at you, and your mind goes completely empty.

• In your own language you would have an answer in a second.

• In English, the words seem to disappear, and the silence feels like it lasts an hour.

This week is about that exact moment.

Thinking on your feet does not mean being the fastest or the cleverest person in the room. It means having a small set of reliable tools that keep you calm and keep you talking while your brain catches up.

The secret professionals know is this: you do not need a perfect answer immediately. You need a good first sentence!

Why the panic happens

When you are put on the spot in English, two things happen at once. You are trying to understand the question, and you are trying to build an answer, both in a second language, under pressure. That is a heavy load. The panic is not a sign that your English is weak. It is a sign that you have given yourself no time.

So the goal is not to think faster. The goal is to create time without going silent. A few seconds of calm, filled with the right words, is all you need to find your answer.

Buy time without sounding lost

The trick is to fill the gap with something natural instead of silence. These phrases do that, and they sound thoughtful rather than uncertain:

• “That’s a really good question.”

• “Let me think about that for a moment.”

• “It depends on a few things, really.”

• “There are a couple of ways to look at this.”

None of these answers the question yet. That is the point. They keep you speaking, they sound completely normal to a native ear, and they give your brain three or four seconds, which is often all it needs.

Turn the question back

If you need even more time, or you are not sure what the person really wants, ask. A good clarifying question does three jobs at once: it buys you time, it makes sure you answer the right thing, and it makes you look engaged rather than stuck.

• “Could you say a little more about what you mean?”

• “Do you mean in the short term or the long term?”

• “Are you asking about the cost or the timing?”

People rarely mind being asked. In fact, a sharp clarifying question often makes you look more competent, not less.

Structure buys confidence

When you do start answering, a simple structure stops you getting lost halfway through. The easiest one is to name how many points you have before you make them:

“There are two things here.

• First, the budget.

• Second, the timing.”

By saying “two things” out loud, you give yourself a map. You have promised only two points, so you know exactly when you are finished, and you sound organised even though you are inventing the answer as you go.

Your challenge this week

Pick two of the time-buying phrases above and learn them by heart, so well that you do not have to think about them.

The next time a question catches you off guard, use one. You will feel the difference immediately: instead of freezing, you will be talking, and talking is what gives you time to think.

Yesterday I shut all the windows to keep the house cool!

That sounds backwards, I know.

But the wind coming up from the south was so hot it was like standing in front of a hair dryer, and the only way to hold on to the cool air inside was to close everything up and wait it out. It was thirty degrees before the morning had properly started.

Ceiling fan on, one air con unit to the side, a second on the floor, and I still nearly cried with the heat of it.

That is the daily reality now, here in Italy.

There is a city about forty-five minutes from me that turns its water off completely between nine and five. Not for some houses, all of them: homes, shops, the coffee bars that now keep big tanks and fill them overnight. They have done it for years, because the water table has dropped and dropped and it simply isn’t sustainable any more.

So when the topic of “preparing for changing living conditions” came up in this week’s conversation class, we had rather a lot to say. We ended up with a whole bank of feelings vocabulary, a handful of advanced words for weather that keeps escalating, a proper look at that maddening cluster of letters in drought, and a grammar structure that quietly makes you sound far more sophisticated than you did ten minutes earlier.

It turned into one of those lessons I wanted to write up properly. So I did.
