It’s Monday morning. You open your inbox and find this message from your manager, Priya:

“Hi [your name],

As discussed, you’re joining the Meridian account team with immediate effect - Sam’s out on leave and we need cover before Thursday’s client call. I’ve added you to the shared drive with the account history and last quarter’s numbers. Let me know your thoughts before the call.

Thanks, Priya”

The Challenge

Write your reply to Priya (4-5 sentences). Your reply should:

• Confirm you’re glad to be on board

• Be honest that you’re still getting oriented - without sounding unprepared

• Offer one concrete thing you can already do

• Commit to a specific day you’ll come back with a full view

The Framework: SPOT

Before you see the model answer, here is the structure that makes this kind of reply work. Call it SPOT.

S - Signal. Show you’re glad to be there. Confirm it in one clause - no lengthy enthusiasm needed. “Thanks for looping me in - happy to come on board.”

P - Protect. Protect your credibility by being upfront about what you’re still doing, not what you’re missing. “I’m still getting up to speed on the account history.”

O - Offer. Show initiative with one concrete thing you can already do, rather than just absorbing information. “In the meantime, I can sit in on tomorrow’s call and take notes.”

T - Tie to deadline. Give one specific day you’ll come back with a fuller view. “I’ll come back to you on this by Wednesday.”

SPOT works for almost any “you’re joining mid-stream” moment. The reader gets: warmth, honesty, initiative, and a deadline. That’s what makes you look capable - not pretending you already know everything.

There are 214 unread emails. Eleven requests waiting for action. Three clients who sent something while you were away. And a message from your manager with the subject line: “Quick catch-up when you’re back?”

This is the moment most people find hardest. Not because the work is difficult -- but because writing professional emails in English when you are already behind feels ten times harder than usual.

The Situation

It is your first day back after two weeks’ leave. You are working through your inbox. You find this email from a client, sent four days ago:

“Hi [your name],

I sent the proposal request last week and wanted to make sure it didn’t get lost while you were away. Could you let me know where things stand? We’re hoping to have something to review before the end of the month.

Thanks, Marcus”

The Challenge

Write your reply to Marcus (4-5 sentences). Your reply should:

• Acknowledge you have been away -- briefly, not apologetically

• Show him his email did not get lost -- you have seen it and you are on it

• Give him a clear next step -- something specific he can plan around

• Keep the tone warm and professional -- not rushed, not over-explained

The Framework: PACE

Here is the structure that makes this kind of reply work. Call it PACE.

1. P - Patience. Start by thanking them for theirs. Not apologising for your absence - thanking them for waiting. This reframes the situation immediately.

2. A - Acknowledge. Name where you are in one short clause. “I’ve just come back from leave.” One sentence. No elaboration needed.

3. C - Commit. State what you will do, not what you cannot. Not “I haven’t had a chance to look at this” - but “I’ll review this today.”

4. E - Exact date. Give a specific day. “By Wednesday” is worth ten times more than “soon” or “as soon as possible.”

PACE works for almost any chasing email after a break. The reader gets: warmth, context, an action, and a deadline. That is all they actually need.

You know by now that the British rarely say what they mean.

But it’s not just about the words we choose to say, it can also be about the grammar too.

Here’s a sentence with nothing wrong with it: “Can you send me the file.” Perfect grammar. Clear request. And to a British ear, very slightly abrupt, the kind of thing that makes a colleague think you might be in a mood.

The strange part is that politeness in English is not really about magic words. “Please” helps, but you can be perfectly polite without it and quite rude with it (”Send me the file, please” still sounds like an order). The real politeness lives in the grammar. Once you can see it, you can control exactly how soft or direct you sound.

The politeness ladder

Watch the same request climb from blunt to gentle. The meaning never changes. Only the grammar does.

🚨 Send me the file. (An order. Fine for a text to a close friend. Risky at work.)

👉 Can you send me the file? (Direct, but okay. Neutral.)

🚀 Could you send me the file? (More polite. “Could” is softer than “can”.)

➡️ Could you possibly send me the file? (Very polite. One small word added.)

✅️ I was wondering if you could send me the file? (Extremely careful and polite.)

Nobody teaches you this ladder, but every fluent speaker is climbing up and down it all day, choosing the right rung for the person and the situation.

The one principle behind all of it…

Here’s the rule that makes sense of the whole thing: the more tentative and indirect your grammar, the more polite you sound.

Two tools do almost all the work.

1. Modal verbs. These are the little helping verbs like can, could, would, and might. Moving from can to could to would makes any request gentler, because you’re being less certain that the answer is yes. “Would you be able to...” leaves more room for the other person to say no, and leaving that room is exactly what feels polite.

2. Distance. Push a verb into the past and it becomes softer, even when you’re talking about right now. “I wonder if you could help” is fine. “I was wondering if you could help” is softer, because the past tense makes it feel less pushy, more careful. The same trick turns “I want” (a bit blunt) into “I wanted to ask” (much gentler). You’re not really talking about the past. You’re creating polite distance.

This is the machinery behind everything in the last piece. The soft nos, the hedging, the “just wondering if you’d had a chance”, they’re all built from modals and distance.

Learn these two tools, and you can dial your own tone up or down on purpose.

How to build a polite sentence on purpose

Now the practical part. A soft, professional request is usually made of the same few pieces, stacked together. You don’t need all of them at once, but knowing the parts lets you choose.

1. A softer modal: could or would, not can.

2. A small hedge word: possibly, perhaps, by any chance.

3. A distancing phrase: I was wondering if..., I wanted to ask...

4. “Just” to shrink it: just a quick one, just wondering.

5. A reason: because it explains why you’re asking, which makes the ask feel fair.

Put a few together and you get a sentence that sounds completely natural in a British office:

“Hi Sam, I was just wondering if you could possibly send the file over when you get a chance? I’m pulling the report together and I’m missing that last bit. No rush at all.”

Every single softener in there is optional. Strip them all out and you get “Send the file”, which is the same request wearing a very different face.

Saying no, disagreeing, and other hard bits

The same grammar handles the awkward moments.

• Making a request feel small. Use “just” and a modal. “Could you just take a quick look?” feels far lighter than “Review this.”

• Disagreeing without a fight. Reach for a modal and a hedge. Instead of “That’s wrong”, try “I’m not sure that would work” or “Might it be worth checking the numbers first?” The tentative grammar lets you push back while giving the other person room to save face.

• Saying no without the word “no”. This is pure grammar in action. “I’d love to, but I don’t think I’ll be able to this week” is a clear no, softened by a modal (”would”), a past-distanced verb, and a reason. You’ve refused, and nobody feels rejected.

The over-politeness trap

You can go too far. Stack six softeners onto a tiny request and you start to sound nervous, or worse, sarcastic. “I was ever so sorry to bother you, and I do hope you don’t mind, but I was just wondering if you might possibly...” for a two-second favour makes people wonder what’s wrong.

Match the softening to the size of the ask. Big or sensitive request, climb higher up the ladder. Small, normal, everyday thing, a plain “Could you send that over?” is warm enough. And with people you know well, being too polite can feel cold and distant, as if you’ve stopped treating them as a friend. Direct is fine once you’re close.

The mistakes I see most often

• “I want” at work. “I want the report by Friday” sounds like a command. Use “I’d like” or “Could you get me the report by Friday?” instead.

• “You must”. “You must send it today” feels like telling someone off. “Could you send it today?” does the same job without the frown.

• Leaning on “please” to fix a blunt sentence. “Do this please” is still an order with a please stuck on. Soften the structure, not just the ending.

• Forgetting the small talk and the reason. A request with no “hi”, no “hope you’re well”, and no reason can read as cold, even when the grammar is polite. The wrapper matters too.

Try it: make these polite

Rewrite each blunt sentence so it would sound fine in a work email.

1. Send me the numbers.

2. I want a meeting tomorrow.

3. That’s wrong.

4. Call me back.

You’re at a professional or social work event, and someone genuinely interested asks you to tell them about a project you’re proud of. You have ninety seconds of someone’s real attention. After that, the moment passes either way.

Write your response so that it:

· Avoid a vague, forgettable answer

· Avoid a long story that loses the listener halfway through

· Land on a clear result that makes the story worth telling

The client says everything is fine. The words are polite. The email is short. Something about it still doesn’t feel right.

You read it again. The tone is too brief. The usual warmth isn’t there. “Fine”, in this context, almost certainly doesn’t mean fine.

Sound familiar? In English, we have a perfect phrase for noticing meaning that isn’t actually written down: to read between the lines.

What does it mean?

To read between the lines means to understand an implied or hidden meaning that isn’t directly stated, by paying attention to tone, context, and what has been left out.

It is a skill, not a guess. The information is genuinely there. It is just hiding in the space around the words, rather than in the words themselves.

Picture the Space Between Printed Lines

Picture a printed letter. The black ink sits in neat rows across the page. But between those rows, there is only white space, nothing written at all.

Reading between the lines means noticing the message hiding in that empty space: in what wasn’t said, what was said too briefly, or what was avoided entirely. The real meaning is sometimes in the gaps, not the ink.

You can pass every grammar test, spell “necessary” correctly under pressure, and still walk away from a conversation with absolutely no idea what just happened.

That’s not a failure of your English. It’s a feature.

A huge part of English, especially the British kind, happens in the space between the words. What people say and what they mean are often two different things, and nobody hands you the key.

This is the part they don’t put in the textbook, so let’s put it here instead.

Rule one: we very rarely say what we mean

The single most useful thing to understand about British communication is understatement. We turn the volume down on everything. Something wonderful is “not bad”. Something terrible is “a bit of a shame”. A total disaster is “less than ideal”.

This gets confusing at work, because the polite version and the honest version use the same words. Here’s a rough translation guide for the phrases that catch people out.

None of this is lying. It’s cushioning. We soften bad news and shrink good news, all so nobody feels awkward. The skill you need is reading the gap: when a British colleague is very polite and very vague at the same time, that vagueness is usually carrying the real message.

A quick test. If someone says your proposal is “interesting” and then changes the subject, they did not find it interesting. Sorry!

Rule two: the jokes are a good sign

British workplaces run on humour, and it can throw you completely if you’re not expecting it. Three things are worth knowing.

• We put ourselves down. A British colleague will happily say “well, I made a complete mess of that” about their own work. This is not low confidence. It’s a social move. Making yourself the target first is seen as friendly and modest, and it invites everyone to relax. If you can do a little of it too (”my spreadsheet skills are a work in progress”), people warm to you fast.

• Teasing means they like you. Gentle mockery, what we call “banter”, is a sign of acceptance, not an attack. If your colleagues start joking about your terrible taste in tea or your habit of arriving four minutes late, you’re in. Being too formal with someone is often the sign that they’re keeping their distance.

• We say the opposite of what we mean, with a flat face. This is sarcasm, and the British version is very dry. Someone looks out at pouring rain and says “lovely weather”. The trick is the flat, calm delivery. There’s no wink, no big smile. If a sentence obviously doesn’t match the situation, that’s your clue it’s a joke.

And here’s the reassuring part: you do not have to get every joke instantly. If you’re not sure whether someone is serious, a light “are you joking, or...?” is completely fine and usually gets a laugh of its own. Nobody expects a second-language speaker to catch every bit of sarcasm. They do notice when you take it in good spirit.

One warning. In a first meeting, keep your own jokes small. Humour lands best once people know you a little. Start dry and gentle, and build from there.

Rule three: learn the idioms that actually turn up

English is stuffed with idioms, and most of the ones in old textbooks never appear in real offices (”it’s raining cats and dogs” is not going to come up in your budget review). Here are the business ones you’ll genuinely hear, in plain English.

• Touch base = have a quick chat to check progress. “Let’s touch base on Friday.”

• Circle back = return to this topic later. “Can we circle back to the numbers?”

• A ballpark figure = a rough estimate, not exact. “Just give me a ballpark.”

• Put it on the back burner = leave it for now, deal with it later.

• Take it offline = discuss it privately, not in this big meeting.

• Low-hanging fruit = the easy wins you can get quickly.

• Get the ball rolling = start something.

• On the same page = we understand and agree with each other.

• I’ve got a lot on my plate = I’m very busy.

• Run it past someone = ask for their opinion or approval first.

You don’t need to use these to impress anyone. You need to recognise them so you’re never lost when a manager says “let’s park that and circle back”. (Yes, “park” means the same as “back burner”. We have far too many ways of saying “later”.)

Rule four: the small rules that quietly matter

These are the unwritten social habits. Break them and nothing terrible happens, but following them makes you feel like an insider.

• “How are you?” is not a question. When a colleague says it in the corridor, they are saying hello. The correct answer is “fine thanks, you?” and you both keep walking. Do not give a real medical update.

• Small talk comes first. Before a meeting gets going, there’s usually a minute of nothing important: the weather, the weekend, your journey in. Skipping straight to business can feel a bit cold. Have one small comment ready and you’ll never be caught out.

• We apologise for everything. Someone bumps into you, and you say sorry. This is not an admission of guilt. It’s social oil. If you accidentally start apologising for the weather, congratulations, you’ve fully arrived.

• “Cheers” is doing a lot of work. It means thank you. It also means goodbye. Sometimes both at once, at the end of an email or a phone call. Context tells you which.

• Saying no without saying no. People rarely refuse directly. “I’ll see what I can do”, “that might be tricky”, and “let me check” are often polite nos. Listen for hesitation. If the answer sounds soft and slow, it’s probably not happening.

• The word “just” softens everything. “Just checking in”, “just a quick question”, “just wondering if you’d had a chance”. It makes a request feel smaller and more polite. You’ll see it constantly in emails, and it’s a handy tool of your own.

Try this…

❌ Don’t try to memorise all of this.

✅ Do one thing instead: this week, listen for the gap between the words and the meaning.

When someone is being very polite and very vague, ask yourself what they’d say if they were being blunt. When a colleague teases you, take it as a welcome rather than a slight. When your proposal gets called “interesting”, assume you have work to do.

Your grammar was never the problem. The room was just speaking a second language on top of the first one, and now you can hear it.

You’re hosting a client at dinner the night before an important meeting. The conversation has been warm but has drifted entirely away from business. You need to steer it back toward something useful - without killing the mood or sounding like you’re suddenly pitching over dessert.

The Challenge

Write your response so that it:

· Move the conversation toward business without an abrupt subject change

· Use questions to get the client talking about their actual priorities

· Keep the tone warm throughout, even as the topic shifts

A colleague suggests lunch. “There’s a lovely gastropub near the office,” they say. Someone else pulls a face and says, “Or we could just go to the caff.” You nod along, but you’re not quite sure what the difference is, or what you’ve just agreed to.

The name of the place matters as much as the food. In Britain, where you eat sends a quiet message about how much you’ll spend, how smart you should look, and how formal the occasion is. Native speakers read these signals without thinking. Learners often can’t, and that’s how you end up suggesting a greasy spoon for an important client, or turning up overdressed for a sandwich.

So, roughly from cheapest to smartest, here’s what the names mean.

The greasy spoon, or “the caff”

A greasy spoon is a small, cheap, informal café. The name comes from the fried food: a full English breakfast, bacon rolls, egg and chips, and mugs of strong tea (sometimes called “builders’ tea”). People often shorten café to “caff”, and a caff usually means this kind of place, not a smart coffee shop.

The signal: cheap, friendly, no fuss, often cash only. Good for a quick, relaxed bite with colleagues you know well. Not where you take a client you’re trying to impress.

The coffee shop or café

Broader than a caff. This covers independent cafés and chains like Pret or Costa. Coffee, tea, sandwiches, cake, and a light lunch.

The signal: casual and safe. Fine for an informal meeting, a first coffee with someone new, or a chat that isn’t quite a full meal.

The pub

A pub, short for “public house” and sometimes called “the local” or, informally, “the boozer”, is built around drinks, but most serve food too. That food is often called “pub grub”: burgers, fish and chips, and a Sunday roast.

The signal: relaxed and social. This is the classic place for a drink after work, and a comfortable middle ground for a working lunch that isn’t stiff.

The gastropub

A gastropub is a pub that takes its food seriously. The surroundings still feel like a pub, but the menu is more ambitious and the prices are higher.

The signal: relaxed but not cheap, and a step up in class. A good choice when you want somewhere pleasant and a bit special, without the formality of a restaurant. This is often the safe pick for a client lunch.

The restaurant

The formal end. You book a table, you sit down for a proper meal in courses, and you dress a little smarter.

The signal: this is an occasion. Right for a client dinner, a celebration, or an important meeting over food. It also usually costs the most.

A few others worth knowing: a chippy is a fish and chip shop you take away from, a takeaway is any place you order food to eat at home, and a canteen is the basic self-service place inside an office or building.

You have waited longer than expected for your table. The food finally arrives, and so does an extra dessert you didn’t order.

“Don’t worry,” the waiter says, “that one’s on the house.”

Suddenly the long wait doesn’t matter quite so much.

Sound familiar? There is a simple, friendly English phrase for exactly this kind of gesture: on the house.

What does it mean?

On the house means given free by a restaurant, bar, or hotel, often as a goodwill gesture: an apology for a wait, a thank-you to a regular customer, or simply good service.

“The house” here means the business itself. It is the establishment absorbing the cost, not any individual member of staff being generous out of their own pocket.

Picture the Restaurant Itself Paying

Picture the restaurant as a person standing quietly behind the till, watching everything happen. When something goes wrong, or when a customer deserves a small thank-you, it is “the house”, the business as a whole, that decides to cover the cost.

The waiter isn’t paying for your dessert out of their own wages. The house is. That’s the whole idea behind the phrase: the gesture comes from the business, as a way of saying thank you, or sorry, without making it personal.

A meeting ends well. As you’re leaving, the other person says, “We should grab a coffee sometime.” You smile and agree. Then you get back to your desk, and you’re not sure what just happened.

• Was that a plan? Should you email them?

• If you do, will you look too keen? If you don’t, will you look rude?

Your English is fine. That’s not the problem. The problem is that this phrase is doing a job no coursebook explains.

In English, and especially in British working life, a lot of invitations come wrapped in food and drink. A coffee. Lunch. A quick drink after work. But here’s the part that catches people out: not all of them are plans.

Some are real, and some are simply a warm way of saying goodbye.

Both are completely normal, and learning to tell them apart will save you a lot of quiet worry.

The friendly invitation is not a lie

Start with the most important idea. When someone says “we must do this again” or “let’s do lunch soon”, they’re usually not lying to you. They’re also not making a firm plan. They’re somewhere in between.

Think of it as closer to “it was lovely to see you” than to a note in the diary. It means: I enjoyed this, I like you, and I’d be happy to see you again. It’s a feeling, not a fixture.

Two mistakes are easy to make here.

• The first is to treat the friendly invitation as a firm promise, then feel let down or confused when nothing happens.

• The second is to decide the person was being fake. Neither is right. They meant it warmly. They just didn’t mean it as a diary entry.

How to tell the difference

So how do you read which one you’re getting? Three quick checks.

ONE → Is there a time? This is the clearest signal. Vague words point to a friendly invitation. Specific ones point to a plan.

Notice the pattern on the left. The soft ones use “should”, “must”, and “we’ll have to”, and they end with a vague word like “sometime”, “soon”, or “at some point”. They describe a nice idea without asking you to do anything.

The ones on the right either ask you a question or name a day. That’s the giveaway.

TWO → Is there a next step? A real plan usually comes with an action attached. “I’ll send you a couple of dates.” “I’ll drop you an email.” “Let me check my diary and get back to you.” If you hear one of those, someone is actually going to make it happen.

THREE → Who’s going to follow up? With a real invitation, one of you will send a message. With a friendly one, often nobody does, and that’s fine. Nothing has gone wrong.

What to say back

If the invitation is soft and you’re happy to leave it there, you don’t need to pin it down. Just warm it back:

• “Yes, I’d like that.”

• “Definitely. It was good to see you too.”

That’s a complete, polite answer. You’re matching their warmth without turning it into homework for either of you.

But what if you actually want that coffee to happen? Then you turn the soft invitation into a real one. You do this gently, by adding what it was missing: a time, or a question.

Them: “We should grab a coffee sometime.”

You: “I’d love that, actually. Are you free at all next week?”

You’ve taken their friendly line and given it a specific next step. Most people respond well to this, because you’ve done the slightly awkward part for them.

Making your own invitation sound real

Now the other side. Sometimes you genuinely want to meet someone, you say “we should get lunch”, and then it never happens, and you can’t work out why. Usually it’s because you issued a friendly invitation by accident, and they read it exactly as one.

If you mean it, three things make an invitation sound like a plan:

1. Name a time, or ask for one. “Are you free for lunch on Wednesday?” beats “we should get lunch” every time.

2. Offer a concrete next step, such as “I’ll send you a few dates”. That tells the other person this is really going to happen.

3. Put it in writing. A short follow-up message the same day is what turns a nice moment into an actual meeting.

Compare these two:

Soft: “We should definitely catch up properly soon.”

Real: “I’d really like to catch up properly. Are you around for a coffee next Thursday or Friday? I’ll send an invite.”

Same warmth. One of them will happen.

The phrase itself is rarely what decides things. Whether a coffee ever happens comes down to one small act: someone names a day and sends the message. If you want it to happen, be the person who does that.
