The difference between professionals who handle it well and those who do not is simple: the ones who handle it well have phrases ready to go.</p><h2>The Situation</h2><p>You are presenting your team&#8217;s quarterly results to senior leadership. The presentation is going well. Then the Finance Director interrupts:</p><p><em>&#8220;What&#8217;s the gross margin on the new product line? I didn&#8217;t see it in your slides.&#8221;</em></p><p>You do not have that number. It was not part of your presentation. Eight people are watching you. well.&#8221;</em></p></li><li><p>The second says: <em>&#8220;I&#8217;m confident I can deliver strong results in this role.&#8221;</em></p></li></ul><p>Same language level. Same grammar rules. Completely different impressions.</p><p>The difference isn&#8217;t vocabulary. It isn&#8217;t fluency. It&#8217;s <strong>modal verbs</strong>, those tiny words like <em>can</em>, <em>should</em>, <em>must</em>, <em>would</em>, <em>might</em>, and <em>could</em>, and the confidence with which we choose them.</p><p>For intermediate learners, modal verbs are one of the most underestimated tools in English. We learn them early, but we rarely learn to <em>use them strategically</em>. And that strategic use is the secret heart of persuasion.</p><p>Today, I want to show you how to turn modal verbs into your personal toolkit for clear, confident, persuasive English. You have a good idea. You know it will work.</p><p>But your colleague disagrees. Your manager looks unconvinced. The room is quiet.</p><p>What do you do? Do you argue? Do you push harder? Do you give up?</p><p>None of those things. You do something much more effective.</p><p>You <strong>win them over.</strong></p><p>This week&#8217;s expression is one of the most powerful phrases you can use in professional English: <strong>&#8220;to win someone over.&#8221;</strong></p><h2>What does it mean?</h2><p>To win someone over means to persuade them to support you or agree with you, especially when they were against your idea at first.</p><p>It&#8217;s not about forcing. It&#8217;s not about arguing louder than everybody else. It&#8217;s about gradually bringing someone to your side through the way you communicate.</p><p>The keyword here is <strong>&#8220;over.&#8221;</strong> You&#8217;re moving someone from one side to the other. From &#8220;no&#8221; to &#8220;yes.&#8221; From doubt to trust. The reviewer wants to feel heard. The audience wants to see how you handle pressure.</p><p>So what do you actually write?</p><div><hr></div><h2>The Situation</h2><p>You are the customer success manager at a software company. A long-term client, David, has posted a public review on your company&#8217;s Google page:</p><p><em>&#8220;Absolutely terrible support. We&#8217;ve been waiting three weeks for a fix to a critical bug. Every time I call, I get a different person who doesn&#8217;t know the history. I&#8217;m seriously considering switching providers. One star is generous.&#8221;</em></p><p>Your manager has asked you to write the public response. It needs to be professional, empathetic, and short. You cannot share private details about the account publicly. But there are still a few small problems. A few things that are not quite right.</p><p>Maybe a report has a confusing section. Maybe a new system crashes when someone does something unexpected. Maybe your English grammar is good, but you keep using the wrong preposition in one specific phrase.</p><p>These small problems are annoying, but they are fixable. And in English, we have a great phrase for this: <strong>&#8220;to iron out the kinks.&#8221;</strong></p><h2>What does it mean?</h2><p>To <strong>&#8220;iron out the kinks&#8221;</strong> means to solve the small remaining problems or inconsistencies in something before you move forward with it. It means the big work is done, but you need to fix the details.</p><p>A &#8220;kink&#8221; in this context is a small problem, a wrinkle, or something that is not running smoothly. And &#8220;to iron out&#8221; means to fix it, to smooth it, to make it right.</p><p>This phrase is about that final stage of any project or skill. The exciting beginning is over. The hard work in the middle is done. progress!</h3><p>You have been studying English for months. </p><p>You have worked hard. </p><p>You have done the lessons, watched the videos, tried to speak up in meetings. </p><p>And this morning you caught yourself thinking, <em>am I actually getting any better?</em></p><p>We hear this question all the time. And here is the thing&#8230;</p><blockquote><p><em><strong>You are getting better. You just cannot see it yet, because the way English grows in your head is very quiet.</strong> </em></p></blockquote><p>You do not wake up one day and speak English. </p><p>You notice, one Tuesday, that you understood a whole meeting without trying. Or that you wrote an email in five minutes instead of twenty. Or that a word came to you before you had time to look for it.</p><p>These are small wins. And small wins are how fluency actually happens.</p><h2>A big idea in a small package</h2><p>There is an idea in business and sport called <strong>the compound effect</strong>. It sounds big, but it is simple. If you get one percent better every day, you do not end the year one percent better. You end the year much, much better, because each small step builds on the one before.</p><p>English works the same way. </p><p>One new word today is not much. One new word a day for a year is 365 words. And those words do not just sit in your head. They help you read faster, which helps you understand more, which helps you speak with more confidence, which makes you want to practise more. Each small win feeds the next one.</p><p>The problem is that we do not notice small wins. We are too busy looking at how far we still have to go. </p><p>So today, we want to give you the words to <em>name</em> what you are doing well. Once you can name it, you can see it. And once you can see it, you keep going.</p><h2>Six small words worth stealing</h2><p>We picked these on purpose. They are short. They are easy to say. And most of them are the kind of words English speakers actually reach for in real life.</p><ul><li><p><strong>to get better</strong> - to improve, bit by bit - <em>My English is getting better every week.</em></p></li><li><p><strong>to grow</strong> - to become bigger or stronger over time - <em>My vocabulary is growing.</em></p></li><li><p><strong>to build</strong> - to make something, piece by piece - <em>You are building your confidence every day.</em></p></li><li><p><strong>a step</strong> - one small part of a long walk - <em>Every lesson is a step forward.</em></p></li><li><p><strong>a small win</strong> - a little success that feels good - <em>Today I spoke first in the meeting. Small win.</em></p></li><li><p><strong>to move forward</strong> - to make progress, even slowly - <em>I am moving forward, even on the hard days.</em></p></li></ul><blockquote><p>If you only take one of these with you this week, take <em><strong>get better</strong></em>. It is short, it is warm, and it is a tense we use all the time. <em><strong>My English is getting better</strong></em> is a whole sentence. Say it out loud now. Notice how it feels.</p></blockquote><h2>The tense hiding in these examples</h2><p>Did you spot the pattern? <em><strong>Getting better. Growing. Building. Moving forward.</strong></em></p><p>When we talk about small wins, we reach for the <strong>present continuous</strong> (<em>am / is / are + verb + ing</em>). It is the tense of things that are happening <em>right now, in this part of your life</em>. It is a kind tense, because it reminds you that you are in the middle of something. </p><p>You are not finished. You are not stuck. You are moving.</p><p>Try it this week. When you catch yourself thinking <em><strong>my English is not good</strong></em>, swap it for <em><strong>my English is getting better</strong></em><strong>.</strong> Same situation. Very different feeling.</p><h3>One small thing to try</h3><p>At the end of every day this week, write down one small win in English. Just one. It can be tiny. <em>I understood a phone call. I learned a new word. I spoke first in the meeting.</em> On Sunday, read the whole list. Same idea, three tenses, three completely different effects on the listener. In English, we have a brilliant phrase that captures this idea perfectly: <strong>&#8220;to move the needle.&#8221;</strong></p><h2>What does it mean?</h2><p>To <strong>&#8220;move the needle&#8221;</strong> means to make a noticeable, significant difference. It means your actions are actually having an impact on a goal or a result. The work you are doing is creating real, measurable progress.</p><p>If something does not move the needle, it means it has no real effect. It might keep you busy, but it does not bring you closer to your goal.</p><h2>Picture a Speedometer</h2><p>Idioms are easier to remember if we can picture them in our minds.</p><p>Think about the speedometer in a car, or the dial on a weighing scale. There is a small needle that points to a number. When something changes, the needle moves.</p><p>Now imagine you are trying to grow your business. You try ten different marketing ideas. Nine of them do nothing. The needle stays exactly where it was. But one idea brings in fifty new customers.</p><p>That one idea? It <strong>moved the needle.</strong></p><p>The important lesson here is that not every action moves the needle. You can talk about money beautifully, as long as the conversation is about saving it. Budgets, costs, expenses, overheads, savings, you have all of that. </p><p>The moment the conversation turns to growth, investment or opportunity, something tightens. The sentences get shorter. The pauses get longer. You reach for a word, and it is not there.</p><p>This is not a vocabulary problem in the way you might think. It is a vocabulary <em><strong>gap</strong></em>, and it has a very specific shape. </p><p>Most business English courses teach the language of caution very thoroughly and the language of growth almost not at all. So you end up fluent in one half of the financial conversation and quietly stuck in the other.</p><p>The good news is that the gap is smaller than it feels, and you can start closing it y2="14"></line></svg></button></div></div></div></a></figure></div><p>In business English, there is a whole family of expressions for spending less. <strong>Cutting costs</strong>, <strong>tightening your belt</strong>, <strong>trimming the fat</strong>, and <strong>keeping an eye on the bottom line</strong>. You have probably met all of these. They are useful, and they are everywhere.</p><p>There is another family of expressions that gets used just as often by fluent speakers, but far less often in textbooks. <strong>Investing in yourself</strong>, <strong>putting money to work</strong>, <strong>scaling up</strong>, <strong>building capacity</strong>, <strong>spending money to make money</strong>. This is the language of growth, and it is the language professionals use when they are talking about the future rather than defending the present.</p><p>Notice that these two vocabularies are not opposites. </p><p>A confident business English speaker moves between them in the same meeting, sometimes in the same sentence. </p><blockquote><p><em><strong>We need to tighten our belts on travel so we can invest in training.</strong></em><strong> </strong></p></blockquote><p>That sentence is doing two things at once, and it sounds completely natural because the speaker has both halves of the vocabulary available.</p><p>If you only have the cutting-costs half, you can still join the conversation, but you will always sound a little more cautious than you mean to. We use it when something is not real yet but could be. It is the perfect tense for talking about growth, because growth always begins as a hypothesis that someone says out loud.</p><p>Compare these two sentences. </p><blockquote><ul><li><p><em><strong>If we invest in this software, we will save time.</strong></em> &#8594; That is a confident prediction. It almost asks for a decision. </p></li><li><p><em><strong>If we invested in this software, we would save time</strong>.</em> &#8594; That is softer, more exploratory, the kind of sentence you use when you want to put an idea on the table without pushing for a yes.</p></li></ul></blockquote><p><strong>Both are correct. </strong></p><p><strong>Both are useful.</strong> </p><p>Fluent business English speakers move between them constantly, and the shift is almost invisible until you start listening for it. </p><p>Once you do, you will hear it everywhere, in meetings, in pitches, in the careful way good colleagues propose ideas without committing the room.</p><p>If you want one small thing to practise this week, this is it. This is one of the most frustrating experiences in any workplace. You were not informed. You were not included. In English, we have a very common phrase for this:</p><p>You were <strong>&#8220;out of the loop.&#8221;</strong></p><h2>What does it mean?</h2><p>To be <strong>&#8220;in the loop&#8221;</strong> means to be informed about what is happening. It means you are included in the communication. You know what decisions are being made, what changes are happening, and what the team is doing.</p><p>The opposite is to be <strong>&#8220;out of the loop&#8221;</strong> which means nobody is sharing important information with you. You are disconnected from what is going on.</p><p>This is an essential phrase for any professional environment. Good communication means keeping the right people in the loop.</p><h2>Picture the Loop</h2><p>Idioms are easier to remember if we can picture them in our minds.</p><p>Imagine a circle of people standing together, passing information around the group. Each person receives the information and passes it to the next person. This is the &#8220;loop.&#8221; If you are standing inside this circle, you receive the information. You are in the loop.</p><p>But if you are standing outside the circle? The information goes around and around, but it never reaches you.
